Bp Event — ERP and CRM for the Event Industry

Bp Event is a specialised event-management and event-industry software product developed by Bankettprofi GmbH, a German vendor headquartered in Speyer in Rhineland-Palatinate. The product combines ERP and CRM functionality in a single database, targeted at banquet operations, catering companies, hotel banquet departments and congress and convention venues across the DACH region. The unifying theme is the event lifecycle: enquiry capture, capacity and resource planning, quotation, contract, event execution and post-event settlement, all on a shared data model rather than as integrated but separate products. Bp Event sits in a narrow industry niche that the international ERP majors do not address well — generic ERPs (SAP, Dynamics 365, Oracle) ship neither banquet-floor planning nor catering-menu-engineering workflows out of the box, while hotel-property-management systems (Opera, Mews) cover room operations but treat banquet and catering as add-on modules.

Overview

Bp Event is delivered on-premises and as a hosted private-cloud edition through Bankettprofi's own infrastructure. The architecture is a Windows-server-based application with a relational database and a Windows thick-client user interface, plus web modules for selected workflows including customer-facing booking. Customer base sits in the mid hundreds, concentrated in DACH hotels, catering companies and venue operators of mid-market size. The vendor is privately held and has been specialising in event-industry software since the 1990s, with a long-tenured engineering and consulting team that knows the catering and banquet workflow in deep detail. Release cadence is roughly annual with patches in between. The product is a textbook example of a vertical-niche ERP that lives in the gap between generic mid-market ERPs and a hospitality-PMS.

Functional sweet spot

The functional sweet spot is the full event lifecycle for banquet and catering operations: enquiry capture and qualification, capacity and resource planning (rooms, staff, equipment, vehicles), menu engineering with recipe-and-cost calculation, quotation and contract generation, event execution scheduling, post-event settlement, follow-up and CRM. Integrated financial accounting covers AR/AP, order management, invoicing and DATEV export. Banquet-floor-planning and event-table-layout tooling is built in. Specialised workflows handle catering-vehicle dispatch, equipment-rental tracking, staff-shift scheduling and the multi-event-per-day patterns typical of busy venues. Reporting covers booking conversion, revenue per event type, staff utilisation and food-cost margins. The product is not designed for hotel room-operations workflows beyond banquet integration — venues running heavy hotel-room operations alongside banqueting typically run Bp Event next to a property-management system rather than replacing the PMS.

DACH positioning

Bp Event is a DACH-native product with strong density in Germany and growing Austrian and Swiss footprints. The DACH localisation is mature: GoBD compliance, DATEV export, SKR03/SKR04 chart-of-accounts templates, German VAT including the specific catering and accommodation tax rates and the related Aussenbewirtschaftung and Veranstaltungs-VAT mechanics. ZUGFeRD and XRechnung e-invoicing are supported. The Austrian and Swiss localisations support country-specific VAT and tax workflows. The DACH catering and banquet industry has a number of regulatory specifics around food safety, allergen labelling and event-services VAT that Bp Event handles natively; an international hospitality ERP would require substantial customisation to cover the same workflows. The product is competitive within the DACH event-industry vertical and is not designed for international rollout beyond German-speaking markets.

Pricing and implementation

Pricing is not published. Based on segment comparables, indicative cost for the on-premises licence is 1,500 to 3,500 euro per named user one-time plus 18 to 20 per cent annual maintenance, or alternatively a per-user monthly subscription in the hosted edition. For a 25-user banquet-and-catering operation five-year TCO typically lands between 120,000 and 280,000 euro depending on modules and customisation. Implementation is vendor-led through Bankettprofi's own consulting team, typically taking two to four months for a standard banquet-or-catering rollout. The implementation methodology is workshop-driven with reference-customer site visits, which suits the workflow-heavy nature of event-industry operations. Time-to-first-value (first productive event executed in Bp Event) is usually within two to three months of project start.

Selection considerations

Choose Bp Event if the buyer is a DACH banquet, catering, hotel-banquet or congress-venue operator between 10 and 100 users and the event-lifecycle workflow is the primary daily operation. The product is the right choice for venues whose generic mid-market ERP cannot handle banquet-floor planning or catering menu-engineering without substantial customisation. Look elsewhere if the buyer is a hotel-property operator whose primary workflow is room operations (Opera, Mews or a comparable PMS fit better), if the buyer is a generic mid-market business with only occasional event activity (a generic ERP's service module suffices), if international multi-entity hospitality consolidation is required, or if the geography is outside DACH.
